How to Volunteer

The Ovarian Cancer Canada Walk of Hope would not be possible without the support of our incredible volunteer committees in each city nation wide and all of the event day volunteers who pride themselves on hosting a wonderful event for families and friends touched by ovarian cancer.

Ovarian Cancer Canada staff work closely with each dedicated committee of volunteers to help organize and support all of the Walk events.
 

Join the local volunteer organizing committee

Each Walk event is designed and hosted by a group of dedicated volunteers who meet on a monthly basis to plan for their local Ovarian Cancer Canada Walk of Hope.

Why become involved on your local committee?

  • The Walk would not be possible without the support of local volunteers – your volunteer support will make a difference in helping us strive for early detection.

Outline of committee roles

  1. Volunteer Coordinator:
    • Help recruit interested volunteers in the local community.
    • Communicate with people who have contacted Ovarian Cancer Canada to volunteer.
    • Communicate with fellow committee members to determine volunteer requirements for the day of the event.
    • Act as primary local contact for all walk day volunteers prior to the Walk.
    • Must be available attend the Walk on Sunday September 9, 2012 to greet, direct and support walk day volunteers.
    • Keep accurate records of all Walk volunteers in order for Ovarian Cancer Canada to send thank you letters after the event.
  2. Registration Coordinator:
    • Must be comfortable with financial matters, demonstrate excellent organizational skills and demonstrate strong leadership ability.
    • Must be available to attend the Walk on Sunday September 9, 2012
    • Be the primary committee member to learn and implement the registration process for your local Walk.
    • Host a mandatory meeting for all volunteers who will be working at registration tables on the day of the Walk.
  3. Finance Coordinator:
    • Must be comfortable with financial matters, demonstrate excellent organizational skills and demonstrate strong leadership ability.
    • Must be available to attend the Walk on Sunday September 9, 2012
    • Be the primary committee member to learn and implement the finance process for your local Walk.
  4. Public Relations and Media Coordinator:
    • Compile a list of local media (radio and TV, newspapers, community papers, etc.) and inform them of the Walk by sending them the pre-produced public service announcement.
    • Arrange media coverage prior to the event.
    • Try to secure media coverage for the day of the event.
    • Must be available to attend the Walk on Sunday September 9, 2012
  5. Food & Beverage Coordinator:
    • Coordinate food and beverage for the local Walk.
    • Arrange transportation of food to the Walk site on the morning of the event.
    • Arrange to have leftover food delivered to or picked up by a local food bank after the Walk.
    • Must be available to attend the Walk on Sunday September 9, 2012 to oversee the distribution of food and beverages.
  6. Sponsorship Coordinator:
    • Work with fellow committee members to indentify prospective local sponsors
    • Approach local businesses to become local sponsors of the Walk
    • Maintain communication with confirmed local sponsors
    • Follow up post walk to thank local sponsors
  7. Marshalling Coordinator:
    • Be responsible for mapping out the short (2.5 km) and long (5 k.m.) walking routes.
    • Ensure that there are on-site volunteers along the walking route and at the finish line to greet and cheer on participants.
    • Must be available to attend the Walk on Sunday September 9, 2012 to oversee the setting up of the walking route.
    • Ensure that the route is clean after the Walk.
  8. VIP Coordinator:
    • Formally invite VIP guests to your local Ovarian Cancer Canada Walk of Hope.
    • Follow up with all invited VIP guests to answer any questions they may have concerning the event and Ovarian Cancer Canada.
    • Must be available to attend the Walk on Sunday September 9, 2012 to greet VIP guests as they arrive.
  9. Entertainment & Event Coordinator:
    • Determine and secure the musical entertainment for the Walk.
    • Arrange to have someone prominent in the community Emcee the event
    • Arrange for a warm-up instructor to conduct a 5-minute routine to help participants get moving and energized before the Walk begins.
    • Prepare and distribute entertainment schedule for the day of the event.
    • Act as the Event Director on the day of the Walk :
    • Must be available to attend the Ovarian Cancer Canada Walk of Hope on Sunday September 9, 2012 to oversee the stage area.
  10. Committee Secretary
    • Responsible for taking point form minutes at local monthly meetings.
    • Responsible for sending out meeting minutes to fellow committee members & National Walk Director.
    • Work with Co-Chairs to create meeting agendas.
    • Send emails to committee members with meeting reminders.
  11. Décor Coordinator:
    • Work with the committee to determine décor for the local Walk.
    • • Act as the onsite Creative Director to create the look and feel the committee envisioned.
    • • Design and oversee the set-up of the ‘Kids Fun Zone’ activities.
    •  Ensure Emcee is prepared and ready for his/her role.
    • Must be available to attend the Walk on Sunday September 9, 2012 to attend the Walk.
  12. Prizes Coordinator
    • Solicit prize donations to be given out at the Walk.
    • Receive and store prizes.
    • Assign prizes to corresponding categories, according to value.
  13. Logistics Coordinator
    • Book security for the day of the event
    • Arrange a volunteer professional photographer for the day of the Walk
    • Book first aid for the day of the Walk
    • Book all rentals required for event day
    • Design the layout and plan for event day
    • Oversee rental delivery and set up
  14. Participant and Team Recruitment Coordinator
    • Work with the local committee to identify local companies to approach to enter a team into the Walk of Hope.
    • Work with the local committee to develop a list of local community centres and businesses to approach to display Walk promotional materials.
    • Distribute Walk promotional materials to fellow committee members for distribution throughout the community.
    • Work closely with the Sponsorship Coordinator to engage local sponsors in starting a team to take part in the Walk of Hope.

Event day volunteers

Event day volunteers are individuals who come out bright and early on Walk Day to help ensure the local Ovarian Cancer Canada Walk of Hope runs smoothly. Event day volunteers do everything from registering participants, to setting up tables and chairs, to cheering on participants as they Walk the Path of Hope. The Walk is only possibly with the support of volunteers on Walk Day.
